Corporate Holiday Party Transportation
One bus from the office to the party and back. Your team is not expensing a dozen separate cars at the end of the night.

What the office coordinator actually needs
The date on a hold
Friday nights in December book first. Send the date in October so the vehicle class is still available.
A headcount, not a guess
Quote the number who are riding, including partners if they are invited. Changing size later means a different vehicle.
A certificate when the venue asks
Corporate venues ask for a COI. Ask for it with the quote so it is not a day-before scramble.
One invoice
One vehicle, one hour block, one total. Repeat company accounts can be billed net-30.
Client dinners stay smaller
A sprinter or a 20-passenger bus is the right tool for a client table. Do not put twelve people in a 56-passenger coach.
A dispatcher, not a chatbot
Call 855-943-1466 and ask for the holiday-party desk. You will get a person.
Corporate holiday transportation is a schedule the office can defend
Corporate holiday party transportation is a chauffeured sprinter, party bus, or coach reserved by a company to move employees or clients between the office, a hotel, and the party. The season runs from early November through the first week of January. The nights that disappear first are Fridays in December, then Thursday, December 31.
One vehicle, one hour block, one invoice. The coordinator's job is a clock that accounts payable, the venue, and anyone catching a train can understand.
Unlimited Charters quotes this nationwide. You send the date, the headcount, and the two addresses. The quote names the vehicle class and the hours. If this is a private family Christmas night instead of a company event, use the Christmas party bus page. The fleet is the same. The agreement is not.
Three trips companies book, and why they should not share one quote
The employee party. Office or garage to the restaurant or banquet room, then back. Partners count if they are riding. This is the Friday-night shuttle most coordinators mean when they say "holiday party bus." One departure, one return, names on a list if the company wants them.
The client dinner. A smaller vehicle. Hotel or office to the restaurant and back. Twelve clients do not belong on a 56-passenger coach, and a leadership table does not want a party-bus interior. An executive sprinter or a 20-passenger shuttle is the right tool. Quiet, on time, and easy to explain on an expense report.
The daytime client outing. A Christmas market, a light display, or an off-site that happens to fall in December. That is a daytime charter with its own hours. It can be the same date as the evening party only if you quote two blocks. "Have a bus around" is not a block.
Write the trip type in the first line of the request. Mixing a client dinner and an all-hands party into one headcount produces a vehicle that is wrong for both.
Match the vehicle to the people who are actually riding
- About 10 to 14 passengers. Executive sprinter for a client dinner, a leadership table, or a partner meeting that continues over dinner. This is the booking that replaces a line of black cars.
- About 18 to 24 passengers. Party bus or executive shuttle when one department is going, with or without partners. A party bus is the right call if the group wants the ride to feel like the start of the night. A shuttle is the right call if the ride should feel like transportation.
- About 30 to 36 passengers. Mini-coach. The usual answer when "the team" turned into the team plus guests, or when two departments share a venue and one departure.
- About 40 to 56 passengers. Motorcoach. All-hands parties, hotel guest shuttles, and any list that will not fit a mini-coach without leaving someone in the garage. Coats and gift bags have a place to go.
Do not oversize a client dinner into a full coach to "leave room." Empty seats do not make the night feel hosted. Do not squeeze an all-hands list into a sprinter because that was the vehicle on last year's invoice. The headcount decides. If the RSVP is still moving, tell us the floor and the ceiling. We would rather hold the larger class and release it than swap vehicles on December 10.
See the 30-passenger coach and the 22-passenger shuttle for the sizes offices use most. The agreement names the class you are reserving.
A Friday office party, hour by hour
Use this as the skeleton for the request. The example is Friday, December 11, 2026. Your building and your venue change the minutes, not the decisions.
- 4:40 p.m. The coach is staged where the building actually allows a bus. Send that instruction with the quote. "Out front" is often a fire lane. A garage level, a side street, or the hotel porte-cochère is a real staging note.
- 5:00 p.m. One departure. People who have a 4:30 meeting either made this bus or they did not. A second sweep 25 minutes later is a second trip. Put it in the quote if you need it.
- 5:25 p.m. Arrival at dinner. The driver has the return time. The coordinator is not negotiating from the coat check.
- 5:30 to 9:30 p.m. The party. If the coach is released and returns, the quote shows both windows. If the coach stays, the hours are continuous. Say which one finance approved.
- 9:40 p.m. Return boarding. One end time protects the people who have a train, a sitter, or a 7 a.m. flight. Guests who want to stay later are off this manifest on purpose.
- 10:15 p.m. Back at the office or the hotel. The block ends. An extra hour is a request to dispatch before 9:40, not an assumption.
Hotel shuttles are the same skeleton on a loop. "Every 40 minutes between 6 and 11, hotel to venue" is a quotable schedule. "Run people as they are ready" is not.
What the coordinator sends
- Company name, and the name of the person who can approve the total.
- City, date, and a backup date if the venue gave you one.
- Rider count, with partners included if they are invited. A guess of "about 40" that is really 52 changes the vehicle.
- Start address, venue address, and where the coach should stage.
- Leave time and return time. Clock times, not "after dinner."
- Whether anyone must be back for a train or a flight. That person sets the end time.
- Whether the venue has asked for a certificate of insurance, and the wording if you already have it.
- Whether the invoice should be in the company name.
Call 855-943-1466 and ask for the holiday-party desk, or use the form on this page. You will get a person. The quote is usable when those eight items are in it. It is a guess when they are not.
Certificate of insurance, the company name, and net-30
Corporate venues ask for a certificate of insurance. Private clubs, hotels, and downtown banquet rooms ask most often. Request the COI with the quote. Send the venue's wording if they have a sample. Waiting until the morning of the party is how a correct booking still gets stopped at the loading dock.
The agreement can be in the company name when the company is paying. Say that in the request so the invoice matches what accounts payable expects to see. Repeat company accounts can be set up net-30. Ask when you request the quote. A first booking may be a card or a deposit. The agreement names the deposit and the date the balance is due. We do not hide that until after you have told the office the bus is confirmed.
One invoice covers the vehicle, the hours, and the stops you listed. It does not cover the restaurant, a venue parking fee, or a bar tab. Those stay with the venue contract you already signed.
How the company quote is priced
The planning range on our winter destination pages is $150 to $275 per hour, by vehicle size and duration, with a 4-hour minimum. Your metro and your date set the number. A client dinner on a Tuesday is not priced like a 56-passenger coach on the second Friday of December. New Year's Eve sits at the top of holiday demand. We will not hand you a made-up package price that ignores the city.
Published on our pricing page, and true of these quotes:
- Vehicle for the booked duration. Most trips have a 4-hour minimum.
- Licensed, drug-tested chauffeur. Fuel. Tolls on the confirmed route.
- Standard 18% gratuity included in the total you approve.
- Commercial insurance, in the $1.5 million to $5 million range these vehicles carry.
- On a party bus: cooler, ice, audio, and LED lighting. Alcohol is not provided. Party buses and limos are BYOB, 21 and over. A client dinner on a sprinter or a coach is transportation, not a bar.
Saturday company parties typically price above a Tuesday run. Booking inside a week prices above a booking made a month out. Lead time is the lever you still control in October. The first three Fridays of December are December 4, December 11, and December 18, 2026. Those are the dates to send now.
People leave at different times. The bus should not.
This is the argument that sinks an otherwise good plan. Someone wants to leave at 8 for a sitter. Someone wants to stay until the venue closes. A bus that waits for the last person is an open-ended bill, and it strands the people who trusted the 9:40 return.
Set one return time in the quote. Publish it in the invitation. People who need a different window are a separate car, on purpose, not a change to the manifest at 9:10. If you truly need two waves, quote two departures. A 5:00 bus and an 8:30 return bus can be two blocks on one agreement. They cannot be one driver waiting in a dock for four hours while the plan changes.
Multi-office pickups work the same way. Two buildings on the same side of downtown, with a five-minute gap, are fine. Four suburbs and a downtown venue are a route we need in the request, with a first-stop leave time, or the venue arrival slides by half an hour.
Daytime outings worth quoting next to the party
If the company also wants a market or a light display, quote that block on its own and keep the evening party separate. These pages are live:
- Baltimore Christmas Village and Philadelphia Christmas Village for mid-Atlantic client afternoons.
- Rockefeller Center when the tree is the outing. Send an arrival window. Midtown does not absorb a late coach.
- The National Christmas Tree for Washington groups.
- Longwood Gardens and Peddler's Village for Philadelphia-area off-sites.
- Symphony of Lights in Columbia and Ocean City's Winter Festival of Lights for Maryland offices.
- Bethlehem, Nashville Christmas Wonderland, Biltmore, and Winterthur when the outing is the destination, not a dinner downtown.
A client outing and a party on the same date are two lines on the quote. That is how the hours stay something you can show a manager.
Why the office stops expensing the ride home
A pile of rideshares looks cheap until the party ends. Prices jump, cars cancel, and the people who live in the same direction still leave ten minutes apart. The company then owns a messy expense report and a story about someone who could not get home. A booked return is the opposite. The cost is known before the invitations go out. The vehicle is there at 9:40 because that is what the agreement says.
We will put the vehicle, the hours, and the total on the quote. You can divide it by headcount for the approval. We will not invent a per-person package that pretends every city costs the same.
The rest of the company's December
- Christmas party bus for the private or department night that is not running through accounts payable.
- New Year's Eve party bus for December 31, 2026. Client parties that night need an earlier hold than a Friday in mid-December.
- Wedding transportation if a December wedding is on the same calendar as the company party. Different run of show, different page.
- Corporate transportation for January off-sites, airport loops, and the shuttles that are not a party.
Put the company name, the headcount, the two addresses, and the hours on the request. Call 855-943-1466 or start the company quote. Friday, December 11 is still a date you can hold. It will not stay that way through November.
The holiday party shuttle is a schedule, not a surprise.
Leave the office at a set time. Arrive at dinner together. The bus waits or returns for the stated end time. People who need to get home are on the manifest, not in a group text.
