The Six Wedding-Day Transportation Legs (And Which Vehicle Fits Each)

1. The bridal party arrival

Stretch limo, vintage Rolls-Royce, or Bentley for the bride and her parents — the formal arrival vehicle. Photographer captures the door open, the dress reveal. We schedule a 15-minute "stage and wait" window so the photographer can frame the shot without anyone rushing.

2. The wedding-party transfer

20- or 30-passenger party bus for the bridesmaids, groomsmen, and immediate family — premium sound for a getting-ready playlist, full bar setup, climate-controlled, plus enough room that nobody is sitting on someone's dress. Door-to-door from the prep location to the ceremony venue.

3. Photo-stop transfers

Many couples fit a photo-spot stop between ceremony and reception. We coordinate a 30–60 minute photo loop — limo or party bus stops at iconic city locations, photographer rides along, the wedding party gets formal portraits with the venues you actually want.

4. Guest shuttle from the hotel block to the reception

This is the leg most couples forget — and it's the one your guests notice most. We run dedicated shuttle loops between the hotel block and the venue, with multiple departures so guests choose their own arrival window. Mini buses (28-passenger) or motor coaches (56-passenger) depending on guest count. Same shuttle runs in reverse at the end of the night.

5. The bride and groom's exit / late-night limo

The end-of-night ride home for the newlyweds is its own thing — usually a stretch limo or vintage car for the formal exit. We hold a vehicle on standby through the reception, on the timeline you set.

6. Out-of-town guest transfers

Airport pickups for the family flying in, day-after brunch transfers, post-wedding sightseeing tours — any related ride that touches the wedding window, we can fold into the same booking.

Mini buses and motor coaches (28–56 passengers)

Master timeline review at booking

Once you confirm vehicles, we sit down (call or video) with you and your planner to walk through the full wedding-day timeline — minute by minute — and confirm pickup times, drop-off times, photo windows, and standby holds. Anything ambiguous, we flag and resolve before the day-of.

Day-of dispatcher on-call

The day of your wedding, our dispatcher is your single phone number for any vehicle question. Photographer running 20 minutes late? Call us, we'll re-time the next leg. Guest needs a last-minute airport pickup? Call us, we'll dispatch.

Multi-vehicle convoy management

For weddings using 3+ vehicles, we run the convoy as a coordinated unit — same drivers know each other's routes, the lead vehicle announces departures over our dispatch radio, and timing stays synchronized.

Backup vehicle policy

For high-stakes days (every wedding qualifies), we hold a backup vehicle in our network for any wedding booking with 4+ vehicles or any single irreplaceable vehicle (e.g., a vintage Rolls). If a primary breaks down, the backup is dispatched in under 30 minutes.

Wedding Pricing — What's Included

Wedding bookings are typically priced as a daily package per vehicle, with included hours that match your wedding-day window. Standard inclusions:

  • Vehicle + uniformed chauffeur for the contracted hours
  • Commercial liability insurance ($1.5M–$5M depending on vehicle)
  • Fuel (no surprise mileage surcharges)
  • Standard 18% gratuity — already baked in, not a tip-jar request day-of
  • Decorating allowance — most vehicles can be decorated with ribbons, "Just Married" markers, etc. (we discuss specifics at booking)
  • Day-of dispatcher access for any timing questions

Add-ons: extra-hour overtime, pre-stocked champagne (where licensing allows), red-carpet rollout, multi-stop photo windows, and out-of-town/destination-wedding pricing for travel days. All disclosed in the itemized quote — what you see is what you pay.

For most wedding bookings, a 25% deposit secures the date and the balance is due 5–7 days before. Larger bookings (multi-vehicle, destination, or 4+ hour packages) may require 50%.

Common Wedding Questions

How far in advance should we book?

For peak Saturdays in May–October, book 4–6 months out. The exact vintage car you want gets reserved months ahead. Limos and party buses we can usually fill 6–8 weeks out, sometimes less. Same-week is possible — depends on date and city.

Can we decorate the vehicle?

Yes — we permit ribbons, "Just Married" markers, and similar removable decorations. Anything that punctures or scratches paint is a no, and we ask that anything attached to the bumper come off before the vehicle returns to the depot. Our drivers will help install/remove.

What happens if the timeline shifts day-of?

It always shifts. Your dispatcher adjusts pickup times in real-time as long as you call or text us — we hold a 30-minute flex window into every wedding contract for exactly this reason. Major shifts (1+ hour) may require an overtime arrangement.

Can we get champagne or alcohol on board?

State and local laws vary. In most states, BYOB on the limo or party bus is fine; we cannot legally pour or serve. Some states (e.g. Alabama, Utah) restrict open container even in chartered transportation. Your dispatcher will confirm.

Do you do destination weddings?

Yes. We have nationwide network — wedding in Napa, Charleston, Cabo, Aspen, Cape Cod, Lake Tahoe, the Outer Banks, the Florida Keys — we coordinate with our local affiliate operator and run the booking as if it were our home market.

Will the same driver handle a multi-day trip?
For trips under 10 hours/day, yes. Federal Hours of Service rules cap drivers at 10 hours of driving per duty cycle, so multi-day trips with long driving legs may include a relief driver — included in the quoted rate at no extra cost to you.
Do you have liability insurance for events?
Yes. Every operator carries $1.5M–$5M in commercial auto liability. Certificates of Insurance (COIs) for venues, employer events, or weddings can be issued before pickup — request one when you book and we will email it within 24 hours.
How far in advance should I book?
The earlier the better — peak Saturdays in prom and wedding season fill up months ahead. That said, our network is large enough that we regularly fill same-week and next-day requests too. Submit a quote and we will tell you what is available right away.
What is included in the price?
Every quote is all-in: vehicle plus a licensed chauffeur plus commercial insurance plus fuel plus standard gratuity. There are no surprise add-ons. The price you see is the price you pay.
Is there a minimum rental time?
Most party buses have a 4-hour minimum. Some markets and vehicle types allow shorter rentals (such as airport transfers). The quote form above shows what is allowed for your specific trip.
Can we bring our own drinks on the bus?
Yes — every bus is BYOB. Most include onboard bars and ice. Just remember everyone in the group must be 21+ if alcohol is on board, and our drivers will not allow open containers near the driver compartment.
