Contract structure: what your procurement team will want to see

  1. Itemized line items. Vehicle rate, hours, fuel surcharge, driver gratuity, tolls, parking. NOT a single "all-in" lump sum — your AP team will reject it for variance review.
  2. Cancellation policy. Within 72 hours = forfeit deposit. Beyond 72 = full refund. Standard.
  3. Substitution clause. If the operator's primary vehicle has a mechanical issue, what's the substitution standard? Should always be "same class or higher, at no extra cost."
  4. Insurance. $5M commercial auto liability minimum. Workers' comp on the driver. COI made out to your corporation as additional insured.
  5. DOT compliance. Operator must be active on the FMCSA Carrier Operations Snapshot, no out-of-service orders, satisfactory safety rating.
  6. Payment terms. Net 30 standard. Some operators want 50% deposit + balance 7 days before service. Negotiable.

When to book — the summer 2026 timing reality

  • Daily hybrid shuttles for July start: book by mid-June. Recurring vehicles are scoped 4–6 weeks ahead.
  • Summer intern programs (June 1 start): should be locked NOW or in the next 7 days. Coach inventory for the full June–August window is going fast.
  • Leadership offsites (any summer date): 6–8 weeks ahead minimum. Premium executive vehicles are scarce.
  • One-off events: 2–4 weeks ahead. Inside 7 days = whatever's left at premium pricing.

The five mistakes facilities teams make

  1. Booking the wrong vehicle size. Coaches are cheaper per-seat but slower to load. For a 30-rider loop, two sprinters often outperform one 56-pax coach.
  2. Skipping the route survey. The driver needs to walk the AM loop once before day 1. Otherwise you get day-1 delays from unexpected one-way streets, weight-limit bridges, or construction.
  3. Underestimating intern social demand. Friday-night intern social runs are 100% of the program ROI. Budget the extra 4–6 hours/week.
  4. Treating an offsite shuttle as airport-only. The dinner + venue + golf transfers between airport and final dropoff are where the program shines — but most early estimates miss them.
  5. Forgetting the COI requirement. A $9,000 program quote gets thrown out when the COI doesn't list your corporation as additional insured. Confirm at quote stage, not 5 days before service.
